Introduction

Helios (hereinafter referred to as “we”, “us” and “our”) fully understands the importance of your personal data and takes seriously and will do our best to protect your privacy. We attach great importance to the protection of any personal information that may be collected when you use our products and services on our website and mobile ends, and will strictly abide by relevant laws and regulations and follow the following privacy protection principles to provide you with more secure and reliable services.

The purpose of this policy is to fully and necessarily inform you of what information we will provide to our TMCs and obtain your consent. Therefore, we hope that you will read the TMC Authorization Agreement (hereinafter referred to as the "Agreement") carefully so that you can better understand our services and make appropriate choices. When do you need to agree to the Agreement?

When the enterprise user to which you belong selects the data sync authorization mode “While adding employee information” or “While activating the employee”, we will tacitly assume that your enterprise has fully informed you in advance of the purpose, scope and usage of the collected personal data and to which TMCs we will provide such information, with prior obtaining of your explicit consent and authorization. You can still choose to cancel the authorization. After the cancellation, we will not synchronize your data to the TMC and you will not be able to use the TMC’s services, but it doesn’t affect your enjoying the other enabled and authorized TMCs’ services.

When your enterprise selects the “After being authorized by the employee” mode, we will inform you of the TMC’s getting some of your personal data for your consent at the time of logging in to your activated Helios account or using the TMC for the first time. Therefore, we hope that you will read the Agreement carefully so that you can better understand our services and make appropriate choices.

What information do we provide to TMCs?

We will only provide necessary personal data to the already-enabled and authorized TMCs to provide you with relevant services. The necessary information herein includes: name, mobile number, email address, gender, id information, rank (such information is sensitive personal information) and other necessary information for the TMC services. If you cancel or do not agree to the authorization, we will not synchronize your data to the TMC and you will not be able to use the TMC’s services, but it doesn’t affect your enjoying the other enabled and authorized TMCs’ services.

Additionally, due to the special nature of travel products or services, certain items or services you select may require further submission of necessary information to complete the booking. You may need to fill in this information yourself, or authorize us to assist with data entry. During the booking process, please pay attention to the following requirements:

  1. When booking train tickets, you need to provide passenger names, ID types, ID numbers, contact names, and phone numbers so that we/TMCs can provide authorized booking/reservation, information notifications, and subsequent refund or change services based on respective responsibilities.
  2. For domestic flight bookings (excluding Hong Kong, Macau, and Taiwan), you need to provide at least passenger names, ID types, ID numbers, contact names, phone numbers, and email addresses. For international and Hong Kong, Macau, and Taiwan flight bookings, you need to provide at least passenger names, gender, nationality, date of birth, ID types, ID numbers, ID expiration dates, ID issuance places, contact names, phone numbers, and email addresses so that we/TMCs can provide flight booking/reservation, information notifications, and subsequent refund or change services based on respective responsibilities.
  3. For domestic hotel bookings (excluding Hong Kong, Macau, and Taiwan), you need to provide at least the names of guests and phone numbers. For international and Hong Kong, Macau, and Taiwan hotel bookings, you need to provide at least the names of guests, phone numbers, and email addresses.
  4. For other items or services that require further necessary information to complete the booking/purchase, please refer to the prompts or authorization content during the booking/purchase process. Please read carefully and pay attention to the details.

How can you manage your authorization?

You can agree to or cancel authorization at any time through these two paths. When you cancel your authorization, you will not be able to use the services provided by the TMC, but it doesn’t affect your enjoying the other enabled and authorized TMCs’ services.

Updates to this Authorization Agreement

We may change this Agreement. The "Last Updated" legend at the top indicates when this Agreement was last revised. Any updates to this Agreement will take effect when we post a revised Agreement on our website.

Questions, concerns, or complaints

We take your privacy seriously. If you have any questions, concerns, or complaints about how we as a data controller collect and process your information, please contact our data protection officer (DPO). Since email communication is not always secure, please do not include credit card information or other sensitive information in the email.

HELIOS takes every privacy complaint seriously. Your complaints will be evaluated by appropriate personnel in order to resolve issues in a timely and effective manner. We request you work with us during this process and provide relevant information that we may need.
